The Secretariat Meeting Minutes
September 18th 2024
Call to order and Prayer: Meeting called to order at 6:42 pm. Prayer was given by Laura Tompkins.
Spiritual Directors Message: Not present
Members in Attendance: Laura Tompkins, David Tompkins, Sarah Odoms, Kim Looney, Janet Trumbull, and Jill Thomas
Members not Present: Garry Phelps, Ken Phelps, and Jerod Odoms
Guest: Angie Meyers, Don Meyers, and Judy Barnes
Minutes from August 15th, 2024:  The Minutes were read and a motion to approve the Minutes was made by Kim Looney and 2nd by Sarah Odoms, motion carried
Treasurer’s Report: A motion to approve August Treasurer Report was made by Jill Thomas and 2nd by Laura Tompkins, motion carried.
Communication Report: Janet Trumbull will include the positions of the Secretariat that will be opening soon in the next monthly Newsletter.
Paper copies of the monthly Newsletter will be available at the Secuelas.
Fourth Day Report: Sarah Odoms has spoken to Jean Hershey about Secuelas being held in Filer, Jean is looking into who can lead those.
  The next Secuela is on September 22nd at PUMC.  Sarah Odoms will bring a printout of the Board term limits to advertise the positions opening soon on the Secretariat.
 The following will be announced at the Secuela:

• Rector and Rectora
• Team meeting dates and locations
•  New camp location

There will also be a discussion on when to hold a Holiday Sequela.
Women’s Leader Report: Judy Barnes, Laura Thompkins and Kim Looney are meeting and planning.
Men’s Leader Report: David Tompkins has talked with Don Meyers about potential Vices.
Rector and Rectora Report: Kim Looney has accepted the call to be Vice Rectora. Judy Barnes has asked Ron Hershey and Jerod Odoms to be the Spiritual Directors for the Woman’s Weekend.
Don has the list of approved Spiritual Directors and has asked someone to be his Vice.
Campground Information: The cost to hold the March team meeting at ICC is $200. Judy Barnes will contact ICC and discuss/confirm the cost.
We will need to supply the tables for the weekends. David Tompkins is exploring some options.
Janet Trumbull is donating and making the curtains for the dividers and will let us know how many feet of pipe we will need.
The user agreements and deposit check were mailed to ICC on Monday Sept. 9th.
 
Prayer and Closing: Sarah Odoms closed the meeting in prayer at 7:57 pm.
The next meeting will be October 22nd.
