The Secretariat Meeting Minutes
October 22nd 2024

Call to order and Prayer: Meeting called to order at 6:35pm. Opening prayer was given by Garry Phelps.
Members in Attendance: Garry Phelps, Sarah Odoms, Laura Tompkins, David Tompkins, Kim Looney, Jill Thomas
Members not Present: Ken Phelps, Jerod Odoms, Janet Trumbull
Guest: Judy Barnes, Jim Looney

Spiritual Directors Message: Not present

Minutes from Sept. 18th, 2024: The Minutes were read and a motion to approve the Minutes was made by Laura Tompkins and 2nd by Sarah Odom, motion carried.

Treasurer’s Report: Kim Looney gave the September Treasurer Report. A motion to approve the report was made by Laura Tompkins and 2nd by Sarah Odom, motion carried.

​Communication Report: Janet Trumbull was not present, however she has been working on updating the dates for the upcoming Weekends on the TVTD website. We discussed the possibility of filling out team/candidate applications online as well as by hand. Garry Phelps will talk with Janet about it.

Fourth Day Report: The next Sequela will be on October 27th at PUMC. The Nov/Dec Sequela, the Holiday Sequela, will be Saturday Nov. 16th 2-4 at PUMC.
Jennifer Krehbiel shared with Sarah that a reunion group had met in Aberdeen at the same time we had a reunion group in Weiser.

Women’s Leader Report: Judy Barnes and Laura Tompkins have been working together, the women have turned in 15 team applications.

Men’s Leader Report: Don Meyers and David Tompkins have been talking. Don has been working on recruiting his team. Gary Krehbiel has accepted the call to be Vice Rector. Pastor Les Sheneberger will be one of the Spiritual Directors.

Rector and Rectora Report: Ron Hershey has agreed to be one of the Spiritual Directors for the Women's Weekend. Judy has all but one talk assigned, and is working on the room assignments.

Campground Information: Camp Ida-Haven emailed Sarah Odoms inquiring about 2025 Weekends, Garry Phelps will respond.
David Tompkins needs to talk with Janet Trumbull in regards to how the curtain divider will be made, it must be able to easily drop for closing.

Things to be considered:
● Campers (but no spouses), side by sides, four wheelers and golf carts are welcome at camp
● Special accommodations
● Smoking areas
● Any area where food/drink is not allowed

Additional Items:
● Garry Phelps presented the TVTD Budget 2
● Term limits of the Board was discussed
● Signed Statements of Belief were updated

​Prayer and Closing: Garry Phelps closed the meeting in prayer at 8:00. The next meeting will be Saturday November 16th at 1:00 at PUMC.
