The Secretariat Meeting Minutes
September 18th 2024 Call to order and Prayer: Meeting called to order at 6:42 pm. Prayer was given by Laura Tompkins. Spiritual Directors Message: Not present Members in Attendance: Laura Tompkins, David Tompkins, Sarah Odoms, Kim Looney, Janet Trumbull, and Jill Thomas Members not Present: Garry Phelps, Ken Phelps, and Jerod Odoms Guest: Angie Meyers, Don Meyers, and Judy Barnes Minutes from August 15th, 2024: The Minutes were read and a motion to approve the Minutes was made by Kim Looney and 2nd by Sarah Odoms, motion carried Treasurer’s Report: A motion to approve August Treasurer Report was made by Jill Thomas and 2nd by Laura Tompkins, motion carried. Communication Report: Janet Trumbull will include the positions of the Secretariat that will be opening soon in the next monthly Newsletter. Paper copies of the monthly Newsletter will be available at the Secuelas. Fourth Day Report: Sarah Odoms has spoken to Jean Hershey about Secuelas being held in Filer, Jean is looking into who can lead those. The next Secuela is on September 22nd at PUMC. Sarah Odoms will bring a printout of the Board term limits to advertise the positions opening soon on the Secretariat. The following will be announced at the Secuela:
Women’s Leader Report: Judy Barnes, Laura Thompkins and Kim Looney are meeting and planning. Men’s Leader Report: David Tompkins has talked with Don Meyers about potential Vices. Rector and Rectora Report: Kim Looney has accepted the call to be Vice Rectora. Judy Barnes has asked Ron Hershey and Jerod Odoms to be the Spiritual Directors for the Woman’s Weekend. Don has the list of approved Spiritual Directors and has asked someone to be his Vice. Campground Information: The cost to hold the March team meeting at ICC is $200. Judy Barnes will contact ICC and discuss/confirm the cost. We will need to supply the tables for the weekends. David Tompkins is exploring some options. Janet Trumbull is donating and making the curtains for the dividers and will let us know how many feet of pipe we will need. The user agreements and deposit check were mailed to ICC on Monday Sept. 9th. Prayer and Closing: Sarah Odoms closed the meeting in prayer at 7:57 pm. The next meeting will be October 22nd.

October 22nd 2024 Call to order and Prayer: Meeting called to order at 6:35pm. Opening prayer was given by Garry Phelps. Members in Attendance: Garry Phelps, Sarah Odoms, Laura Tompkins, David Tompkins, Kim Looney, Jill Thomas Members not Present: Ken Phelps, Jerod Odoms, Janet Trumbull Guest: Judy Barnes, Jim Looney Spiritual Directors Message: Not present Minutes from Sept. 18th, 2024: The Minutes were read and a motion to approve the Minutes was made by Laura Tompkins and 2nd by Sarah Odom, motion carried. Treasurer’s Report: Kim Looney gave the September Treasurer Report. A motion to approve the report was made by Laura Tompkins and 2nd by Sarah Odom, motion carried. Communication Report: Janet Trumbull was not present, however she has been working on updating the dates for the upcoming Weekends on the TVTD website. We discussed the possibility of filling out team/candidate applications online as well as by hand. Garry Phelps will talk with Janet about it. Fourth Day Report: The next Sequela will be on October 27th at PUMC. The Nov/Dec Sequela, the Holiday Sequela, will be Saturday Nov. 16th 2-4 at PUMC. Jennifer Krehbiel shared with Sarah that a reunion group had met in Aberdeen at the same time we had a reunion group in Weiser. Women’s Leader Report: Judy Barnes and Laura Tompkins have been working together, the women have turned in 15 team applications. Men’s Leader Report: Don Meyers and David Tompkins have been talking. Don has been working on recruiting his team. Gary Krehbiel has accepted the call to be Vice Rector. Pastor Les Sheneberger will be one of the Spiritual Directors. Rector and Rectora Report: Ron Hershey has agreed to be one of the Spiritual Directors for the Women's Weekend. Judy has all but one talk assigned, and is working on the room assignments. Campground Information: Camp Ida-Haven emailed Sarah Odoms inquiring about 2025 Weekends, Garry Phelps will respond. David Tompkins needs to talk with Janet Trumbull in regards to how the curtain divider will be made, it must be able to easily drop for closing. Campground Information (continued): Things to be considered: ● Campers (but no spouses), side by sides, four wheelers and golf carts are welcome at camp ● Special accommodations ● Smoking areas ● Any area where food/drink is not allowed Additional Items: ● Garry Phelps presented the TVTD Budget 2 ● Term limits of the Board was discussed ● Signed Statements of Belief were updated Prayer and Closing: Garry Phelps closed the meeting in prayer at 8:00. August 15th 2024 Call to Order and Prayer: Meeting called to order at 6:35 pm. Prayer was given by Judy Barnes. Spiritual Director Message: Given by Jerod Odoms. “David said to the Philistine, “You come against me with sword and spear and javelin, but I come against you in the name of the Lord Almighty, the God of the armies of Israel, whom you have defied.“ 1 Samuel 17:45 Members in Attendance: Garry Phelps, Ken Phelps, Laura Tompkins, David Tompkins, Sarah Odoms, Jerod Odoms, Kim Looney, Janet Trumbull, and Jill Thomas. Guest: Angie Meyers, Don Meyers and Judy Barnes. Minutes from June 20, 2024: (there was not a meeting in July) An amendment was made changing the month from June to May in the Minutes. A motion to approve Minutes was made by Ken Phelps and 2nd by Sarah Odoms, motion carried. Treasurer's Report: Both June and July were given. The bank reconciliation was missing in July's Statement, it will be corrected and emailed. A motion was made by Sarah Odoms to reimburse Judy Barnes $150.00 for attending Montana International, ($75.00 fee and $75.00 travel expenses) as discussed in May's meeting. It was 2nd by Laura Tomkins, motion carried. A motion to approve the Treasurer Reports was made by Ken Phelps and 2nd by Sarah Odoms, motion carried. Communication Report: Jerod Odoms will be submitting a small message from the Spiritual Director, including asking for prayer requests, to Janet Trumbull for the monthly Newsletter. The approved Minutes will be posted with the Newsletter, and on the TVTD website. Fourth Day Report: July's Sequela in Filer had a good turn out. Sarah Odoms will be reaching out to Jean Hershey to discuss the possibility of having regular Secuelas in Filer in addition to the Secuelas here. The next Secuela will be August 25th at PUMC. Women’s Leader Report: Judy Barnes has accepted the call to be Rectora. Men's Leader Report: None Rector and Rectora Report: Judy Barnes is being provided with a list of approved Spiritual Directors. Judy and Don both have names of potential Vices. International Report: Tabled Camp Selection Committee Report: Janet Trumbull provided the Secretariat with a detailed presentation of the Intermountain Christian Camp in Fairfield, ID. After much discussion it was decided Janet would contact the camp regarding the following: - Is the total cost per person $140.00? - Is the camp available for the last team meeting to take place toward the end of March, and what is the cost to hold a team meeting there. - Is the camp available for the Men’s weekend to be held April 24th-27th and the Women's weekend to be held May 1st-4th? TVTD Pescadores Needs: Laura Tompkins will start sending cards to our TVTD family with prayer requests. Prayer and Closing: Garry Phelps closed the meeting with prayer at 8:36. Next meeting September 19th at Weiser Christian Church TVTD Secretariat Proxy Vote A proxy vote was taken via email on 08/23/24 to move the camp location for the 2025 TVTD weekends from Camp IdaHaven to Intermountain Christian Camp in Fairfield. July Sequela will be in Filer from 12-2pm Women’s Leader: Men's Leader: David Tompkins will reach out to Rector Don Meyer Secretary Position: Jill Thomas was voted in as secretary, the vote was unanimous Pre-weekend/ Candidates: Tabled until next meeting Camp Information: Garry Phelps went to Shilo Camp in the Donelly area.
