The Secretariat Meeting Minutes November 19th, 2025
Call to Order and Prayer: Meeting called to order 6:38pm. The opening prayer was given by Janet Trumbull. Members in Attendance: President Judy Barnes, Vice President Angie Meyer, Secretary Jill Thomas, Treasurer Kim Looney, Women's Leader Valerie Phelps, Communications Janet Trumbull, Fourth Day Sarah Odoms. Members not Present: Men's Leader Brandon Thomas, Spiritual Director Jerod Odoms. Guests: Jimmy Looney, Linda Cook and Don Meyer were present. Gary and Jennifer Krehbiel were present via phone. Spiritual Directors Message: Not Present. Minutes from October: Were read and approved via email/text on 10/24/25. Treasurer’s Report: Kim reports there is $240.68 available. Team fees are starting to come in. We do need to make the deposit of $600 to the camp for the upcoming weekends at some point. Jill made a motion to approve the Treasurer’s Report, Valerie 2nd, the motion carried. Communication Report: Janet is working on the Newsletter and is adding everything onto Facebook. Fourth Day Report: Sarah is working on January's Secuela. Women’s Leader Report: Valerie has been working on scripts for different weekend activities. She and Judy Barnes met with Donna Batt. Valerie has also talked with Dori Bannister about her service history and her credentials. Dori is an ordained Pastor who has served as a Spiritual Director in other communities. Valerie also vetted Dori hoping to add her to the approved Spiritual Directors list for our Community. Men’s Leader Report: Not present. Rector Report: Paul Newman is now a licensed Minister in the Nazarene Church, meaning he can now only work in the background and not be a Team Head. For clarification Paul has not been vetted and is not on the list of approved Spiritual Directors. Rectora Report: Nothing to report. Spiritual Directors: Valerie Made a motion to add Dori Bannister to our approved Spiritual Directors -Ordained- list, Kim 2nd, motion carried. There was some confusion concerning Donna Batt serving as Spiritual Director in the past. After reading the meeting minutes from the time period in question and some discussion Sarah made a motion to identify in the past Donna Batt served in a temporary Secretariat Spiritual Director position due to vacancy. Once the vacancy no longer needed to be filled she stepped down. Angie 2nd, the motion carried. Kim made a motion to add Donna Batt to the approved Spiritual Directors -non-ordained- list, Janet 2nd, motion carried. Proposed Activities For Weekends: Valerie made a list of possible weekend activities. All the activities have been done in Idaho or Montana. Jill made a motion to approve the list adding other activities are possible but will require approval from the Secretariat. Valerie 2nd, motion carried. October 15th, 2025 Call to Order and Prayer: Meeting called to order 6:39pm. The opening prayer was given by Sarah Odoms. Members in Attendance: Judy Barnes, Valerie Phelps, Brandon Thomas, Sarah Odoms, Jerod Odoms, and Jill Thomas. Members not Present: Kim Looney, Janet Trumbull and Angie Meyer. Guests: Jimmy Looney, Larry Looney, Garry Phelps, Linda Cook were present. Maria Ferrara, Gary and Jennifer Krehbiel were present via phone. Spiritual Directors Message: Overturned expectations. How do you respond when your expectations are overturned? Matthew 21:9 says “The crowds that went ahead and those that followed shouted, “Hosanna to the Son of David!” “Blessed is he who comes in the name of the Lord!” “Hosanna in the highest heaven!”. God's ways are higher than our ways. Minutes from September: Were read and approved via email/text on 9/25/25 Treasurer’s Report: Jimmy read the Treasurer's Report for Kim who was not present. Brandon made a motion to approve the Treasurer’s Report, Sarah 2nd, the motion carried. Communication Report: Judy reports that Janet is working on Team Meeting posters and putting out a reminder that Jim Langal will be here for the Essentials Training. Fourth Day Report: October Secuela set for the 26th at the Payette Nazarene Church. Women’s Leader Report: Valerie has been talking with Kim. Men’s Leader Report: Brandon has talked with Gary about workers. Rector Report: Gary reports that things are going pretty smooth, he is working on getting the team together. Rectora Report: Jimmy reports that Kim has 25 confirmed team members, possibly 5 more. She has Spiritual Directors in the works. Spiritual Directors: There was a discussion about the need for female Spiritual Directors, and the Spiritual Director vetting process. International Information: There was a discussion concerning essential and non-essential parts of the weekend. Prayer and Closing: Jimmy closed the meeting in prayer at 8:30pm. A proxy vote was taken via text/email on 10/24/25 to read and accept the October meeting minutes. Jill made a motion to accept the minutes as read, Kim second the motion. The motion carried. September 24th, 2025 Call to Order and Prayer: Meeting called to order 6:43pm. The opening prayer was given by Jimmy Looney. Members in Attendance: Judy Barnes, Kim Looney, Laura Tompkins, David Tompkins, Angie Meyer, Janet Trumbull, and Jill Thomas Members not Present: Sarah Odoms, and Jerod Odoms Guests: Brandon Thomas, Sabrina Stanton, Jimmy Looney Gary and Jennifer Krehbiel were present via phone Spiritual Directors Message: Not Present. Judy read a message Jerod sent her. We can not continue to live in sin and serve the Lord. “Whoever keeps commandments keeps their life, but whoever shows contemp for their ways will die.” Proverbs 19:16 Minutes from August: Were read and approved via email/text 8/28/25 Treasurer’s Report: Kim read the Treasurer's Report. There is an outstanding reimbursement check to Janet Trumbull in the amount of 43.31. Janet has donated that back, changing the available to spend to 340.68. Jill made a motion to approve the Treasurer’s Report, David 2nd, the motion carried. Communication Report: Janet reports October's News Letter is underway. Fourth Day Report: Not present. September Secuela set for September 28th at Payette Nazarene Church. Women’s Leader Report: No update Men’s Leader Report: David met with Gary in person and went over Gary's plans. Gary is on track and moving forward. Rector Report: Gary reports that the Filer Mennonite Church can host a team meeting in Jan or Feb. Rectora Report: Kim is working on her “yes” list. She has her Prayer Team in place. Board Member Positions: Brandon Thomas has been voted in as Men's Leader and Valerie Phelps has been voted in as Women's Leader. Tote Organization: Saturday September 27th we will be meeting an PUMC at 10:00 to go through and organize the totes. Pay it Forward: With much discussion it has been decided to encourage our TD community to use Venmo as a payment option. Payments can be made monthly and easily tracked for the upcoming weekends. Prayer and Closing: Jill closed the meeting in prayer at 8:06pm. There will be no meeting in October. The next meeting will be November 15th, at 6:30 at the Weiser Christian Church. August 27th, 2025 Call to Order and Prayer: Meeting called to order 6:44pm. The opening prayer was given by Jerod. Members in Attendance: Jerod Odoms, Kim Looney, Laura Tompkins, David Tompkins, Angie Meyer, Janet Trumbull, and Jill Thomas Members not Present: Sarah Odoms, Judy Barnes Guests: Brandon Thomas, Gary and Jennifer Krehbiel were present via phone Spiritual Directors Message: Jerod gave a message that in life the devil wants a reaction, God wants prayer. Choose to react with prayer. “I lift up my eyes to the mountains— where does my help come from? [2] My help comes from the Lord, the Maker of heaven and earth.” Psalms 121:1-2 Minutes from July: Were read and approved via email/text 7/17/25. Treasurer’s Report: Kim needed to make an amendment to May’s Treasurer’s Report. She had missed adding .60 cents to the purchase of postage stamps. Angie made the motion to approve the amendment, Janet 2nd, motion carried. Kim then shared June and July’s reports. Laura made a motion to approve both Treasurer Reports, David 2nd, the motion carried. Kim also shared that the camp will expect the $600 deposit for next year’s Weekends in October. Communication Report: Everything is up to date. Working on September’s Newsletter. She also reported that there was a good turnout to the Sequela. Fourth Day Report: Not present. Women’s Leader Report: Laura reports that Kim set the team dates. Men’s Leader Report: David has been in communications with Gary working on team positions. He is meeting with him in person in 2 weeks. Board Member Positions: Two women and one man have stepped forward to possibly fill the open Men’s and Women’s Leader positions. They will be vetted and prayed about. Rector Report: Gary has been making calls, he has his prayer head. He has one Spiritual Director and has asked another. He has also selected his Vice Larry Looney. Rectora Report: Kim has selected her Vice Maria Ferrara. She has asked two men to be Spiritual Directors. She has set the team meeting dates. Jim Langdal will be here for our first team meeting on November 8th to do our Essentials Training. Pay it Forward: Tabled Prayer and Closing: Brandon closed the meeting in prayer at 7:34pm. June 25th, 2025 Call to Order and Prayer: Meeting called to order 6:38pm. Opening prayer was given by Jerod Odoms. Members in Attendance: Judy Barnes, Sarah Odoms, Jerod Odoms, Laura Tompkins, David Tompkins, Kim Looney, and Jill Thomas Janet Trumbull was present via phone Members not Present: Angie Meyer Guests: Sabrina Stanton, Linda Cook, Wayne Hovland Gary and Jennifer Krehbiel were present via phone Spiritual Directors Message: Jerod gave a message asking, ‘What difference would it make in your daily life to believe God’s word from beginning to end?’ “Blessed are those whose ways are blameless, who walk according to the law of the LORD.” Psalms 119:1 Minutes from May 28th, 2025: The Minutes were read and a motion to approve the Minutes as read was made by Laura, 2nd by Sarah. The motion carried. Treasurer’s Report: Kim gave the Treasurer Report for May and briefly reviewed March and April’s reports. She still has 3 team members to collect payments from Laura will reach out to these team members to see if she can collect their team fees. There was discussion concerning putting it out to the community to make payments on team fees and candidate fees throughout the year, so it is not so overwhelming. Also providing the community with a budget worksheet that displays all potential costs of working a weekend and sponsoring a candidate. Kim made a motion to approve all 3 Treasurer Reports read as they are, Laura 2nd, motion carried. Concerning the scholarship fund: Moving forward the scholarship fund will be a general scholarship fund to be used for candidates, team members, and/or Spiritual Directors based on need. The approval of the Secretariat will be required. Any future donations will be added to the general scholarship fund unless specifically allocated to team, candidate or Spiritual Director. A motion to approve was made by Sarah, 2nd by Kim, motion carried. Kim, being fully transparent, wanted the Secretariat to know that Jimmy will be helping her with the duties of the Treasurer as she is both Rectora and Treasurer. Communication Report: Janet will be sending an email regarding the passing of Pescadore Ed Parsons. Kim volunteered to handle a group text so that all of our community is informed of his passing. Janet will also be sending out a special bulletin via email and Facebook concerning International Voting. International Voting: There are 2 proxy ballot issues ● Proxy Vote 1: The Assessment Tier Level ● Proxy Vote 2: Budget 2026 There are 2 Secretariat positions open - Secretary and Administration VP. As well as 6 Member at Large Positions. The bulletin Janet puts out will include bios on the nominees being available upon request. A deadline of July 10th will be implemented. Fourth Day Report: Sarah reports the Sequela in June had a good turnout. She was hoping to hold a Sequela in Filer this summer, but it is not working out. The July Sequela will be on July 27th location is still in the works. The August Sequela will be held in the Nampa/Caldwell/Middleton area. Women’s Leader Report: Laura went over the survey results and a discussion followed. Men’s Leader Report: David requested that Garry Krehbiel be added to the Secretariat text group. David needs a potential Vice list for the men. Janet will send him an updated list of men’s work positions after Jennifer Krehbiel provides the past weekend’s team list to her. Intermountain Christian Camp General Discussion: The Rector and Rectora are both comfortable with ICC for the 2026 Weekends. Other News: The President of Tres Dias International contacted Sarah Odoms and asked her to take a position on International. She is requesting prayer and support in making her decision. The following items were tabled until next month: International Training Board Position Terms Men and Women helping at camp Names of Vice Rector and Rectora and team heads Spiritual Directors Prayer and Closing: David closed the meeting in prayer at 9:13pm.
